- Identity and Verification Data: To protect our business and clients from fraud, we collect government-issued photo identification (such as the front and back of an Australian Driver’s Licence or a Passport), secondary proof of residential address (such as utility bills or bank statements), and ASIC Company/Business Name Extracts.
- Digital Data: IP addresses, geographic location, and support queries.
2. How we use your information
We use your Personal Data to deliver our services to you, including:
- Verify your identity: To verify your identity and ensure you are the legally authorised representative of the business names associated with your account.
- Fraud Prevention: To prevent fraud, identity theft, and the unauthorised use of our physical address.
- Internal Audits: To conduct internal audits ensuring our services are not being used for prohibited statutory purposes (such as unauthorised ASIC Registered Office listings).
- Deliver services: To manage your mail, process bookings, and provide receptionist support.
- Communication: To provide technical support and updates on your service.

We treat your Personal Data with the highest level of security. We use a “data segregation” model to ensure maximum protection:
- Secure Storage of Sensitive Documents (The Vaulting Process): We take the security of your government-issued identification seriously. Identity documents provided during onboarding are subjected to a strict security protocol. Upon verification, these documents are permanently removed from our general communication and administrative software (such as email and temporary intake folders) and are migrated to a highly restricted, enterprise-grade encrypted secure server located in Australia (Data Vault). Access to this Data Vault is strictly limited to authorised Senior Management.
- General Business Data: Non-sensitive operational data is stored on our secure servers. While these data centres may be located globally, we have ensured our service providers maintain privacy protections substantially similar to the Australian Privacy Principles.
4. Retention and Destruction
We retain your personal information for as long as needed to provide services to you. To protect our business against legal claims and to comply with regulatory expectations, we retain identity verification records for seven (7) years after your service agreement has ended. After this period, data is securely and permanently destroyed.
5. Sharing your information with third parties
We do not and will not sell or deal in Personal Data or any customer information.
Your Personal Data details are only disclosed to third party suppliers when it is required by law, for payment processing, or to protect our legal rights. Specifically:
- To verify Business Names: When matching additional business names to your primary entity.
- By Law: If required by a court order, subpoena, warrant, or law enforcement agency request.
- Authorised Disclosure: If you breach our Terms and Conditions by unauthorised use of our address for ASIC registration, you irrevocably authorise us to notify ASIC and provide them with your identification details to correct the public record.
